QuickBooks sync is not a huge process that requires coding knowledge or a specific employee to manage that. We've made this process as simple as we could.
- For doing that go to Account Settings by clicking on the logo in the top right corner and then Settings. In the opened Account Dashboard find the Integration module and click on it to open all integrations:
- In the list find QuickBooks integration and press the Settings button:
- The list of all options will be opened as displayed below:
- Using the checkbox next to each parameter you can set up which data will be fetched from Quickbooks and which will not.
So let's walk you through each parameter.
Syncing Preferences
Quickbooks saves your preferences on each data set up to manage your orders more efficiently, we fetch and store your current settings.
Accounts
To keep track of your accounts, you need to fetch them. The accounts can be fetched from Settings > Integrations > QuickBooks Settings > click on the Sync Now button. Stored data are id, name, status, classification, account type, account subtype, and currency. Even though it's possible to disable this integration in settings, integrating accounts is recommended.
Vendors
Invoices, payments, and orders are all integrated through vendors. So, Vendors have a major role in integrating with QuickBooks. You can fetch and store all your QuickBooks vendors with a click or sync any of your Team Procure vendors to QuickBooks by making any transaction using that vendor. On the QuickBooks Settings page, click the Sync Now button to fetch vendors. On creating a new PO, if your vendor is not yet integrated with QuickBooks, it will automatically be synced.
Products
Purchasing orders and bills also include products as required items. You can sync your TeamProcure products with synchronizing purchase orders. By integrating products you will have better control over your assets. Your QuickBooks Online account will automatically receive products when you Sync your PO. Product type, id, and account data are saved in Team Procure.
Purchase Orders
As a part of a procurement process purchase orders are so important. Purchase orders demonstrate the flow of buying one or more items from a supplier. With integration, you can have your Quickbooks orders in TeamProcure and vice versa. The following steps will guide you through the process of syncing purchase orders:
- Click the Sync with QuickBooks button on the info bar
- Choose accounts for each PO item in the integration panel
- Make sure your PO has the correct payable account selected
- Click on the Synchronize button
Your QuickBooks account will then be synced with orders. In contrast, every PO you create or update in QuickBooks Online will be synced with Team Procure.
Bills
With Team Procure, you can send bills to QuickBooks or fetch PO-related bills from QuickBooks. Team Procure and QuickBooks will automatically sync whenever you update or create a bill. It will be convenient for you to have both of them for your bills. Every bill should be associated with an order in TeamProcure. Due to this, bills without orders cannot be synchronized with Teamprocure and will be rejected. The bill date, due date, amount, and items of the bill are synced with QuickBooks.
Payments
Like bills, you can sync payment records of your procurement process. Payments added to Team Procure or QuickBooks are automatically synced with each other but you have to select the QuickBooks payment account when you create a payment on Team Procure. To synchronize payments, they must be associated with a bill. The payment will be rejected if it is not accompanied by a bill. You will be able to do your accounting and bookkeeping without having to re-enter data by syncing bills and payments.
